When companies participate in large exhibitions, booking an exhibition space is only the beginning. Stand design, dimensions, materials, branding, furniture, consumables, logistics and deadlines all have to come together before the event begins. ExpoFry was conceived as a 360° digital platform to bring these requirements into one connected experience.

1. The Problem Behind Exhibition Setup

Large exhibitions bring together companies from many industries. Organisations may book a stand or stage to showcase their products and services, but then have to coordinate with multiple vendors to prepare everything required for the event.

This can create a fragmented process where design, construction, branding, furniture, consumables and logistics are handled separately.

The Product Vision

ExpoFry was designed around a simple idea: instead of coordinating every requirement separately, companies should be able to discover, configure and manage their exhibition requirements through one platform.

2. Selecting the Right Exhibition Setup

The platform allows a company to explore available stand or stage designs and select a setup that fits its event requirements.

But selecting a design is not enough. Exhibition setups often need to be customised according to the actual venue and company requirements.

  • Dimensions: Adjust the setup according to the available exhibition space.
  • Materials: Select appropriate construction and finishing materials.
  • Power consumption: Consider electrical requirements for the setup.
  • Design: Choose a suitable stand or stage concept.
  • Branding: Prepare the setup for the company's visual identity.

3. Expanding Beyond the Stand

One of the interesting parts of the ExpoFry concept is that the platform is not limited to stand construction.

A company attending an exhibition may also require additional items during the event.

Depending on its requirements, the company can add products and services such as:

  • Tables
  • Sofas
  • Chairs
  • Water bottles
  • Food and other consumables
  • Bouquets and presentation items
  • Other event-related requirements

This turns the platform from a simple stand-design service into a broader exhibition procurement experience.

4. Capturing Event Information

The company also needs to provide important information about the event.

This can include the event address, start date, end date and relevant deadlines.

Capturing this information early allows the platform and service team to understand when the setup needs to be prepared and when the final delivery needs to happen.

Why Deadlines Matter

Exhibition projects are time-sensitive. A finished product delivered after the event begins has no practical value, so project deadlines need to be considered from the beginning.

5. From Booking to Customisation

After a company books its requirements, the process does not simply end with an order confirmation.

The sales team can contact the client to understand additional customisation requirements, including branding information, logos and other project-specific details.

This creates a transition between the digital ordering experience and the human project-management process.

6. Brand Identity Becomes Part of the Project

An exhibition stand represents the company in a physical environment, so branding is an important part of the final result.

Companies may need to provide logos, brand guidelines, colours, visual assets and other identity information.

The platform therefore needs to support the handover of these details from the customer to the project team.

7. Milestone-Based Project Progress

Large exhibition projects may involve multiple stages of work. ExpoFry is designed around a milestone-based process where a project can contain several stages from initial preparation through final delivery.

Depending on the project, there may be approximately three to five milestones.

  1. Project preparation: Confirm requirements and project details.
  2. Design and customisation: Finalise the design, branding and required modifications.
  3. Production: Prepare the physical setup and required materials.
  4. Quality and logistics: Coordinate completion and movement of the required items.
  5. Event readiness: Ensure the project is prepared for the exhibition.

The exact milestone structure can vary according to the project.

8. Showing Progress Through Images and Videos

One of the important ideas behind the platform is project transparency.

When a milestone is completed, the project team can share images or videos so the client can see the progress without needing to physically visit the production location.

Progress Visibility

Instead of waiting until the final day to see the finished setup, clients can follow the project as work progresses through milestone updates, images and videos.

9. International Logistics

For international exhibitions, logistics becomes an essential part of the overall solution.

The client may simply need to take a flight and arrive at the event location while the project team coordinates the physical requirements needed for the exhibition.

This is why ExpoFry is intended to cover more than product selection. The larger objective is to connect planning, production and logistics into one experience.

10. Designing for an International Product

ExpoFry is being developed with an international market in mind. Exhibitions can involve companies, organisers and vendors operating across different locations, which means the platform needs to support a broader operational model than a typical local ecommerce application.

The product design therefore needs to balance a simple customer experience with the complexity of the services being coordinated behind the scenes.

11. Product Design and Brand Collaboration

The project includes dedicated design and brand identity work to establish the product direction.

Our work also involved collaboration with Mr. Rishabh Admane, a product designer who contributed to the product design process as a third-party resource.

His experience in product design and digital presence for the automotive and EV sector brought an additional perspective to the product-development process.

12. The Technology Is Only One Part of the Product

A platform such as ExpoFry involves more than building screens and APIs.

The technology has to support a complete operational workflow:

  • Customer requirements
  • Product and service selection
  • Configuration and customisation
  • Event information
  • Deadlines
  • Sales coordination
  • Project milestones
  • Images and videos
  • Logistics
  • Client communication

Each part needs to connect with the others so that the customer experiences one coherent platform rather than a collection of disconnected services.

13. What ExpoFry Represents for Us

ExpoFry is an example of the kind of product challenge that goes beyond traditional website or application development.

The platform combines ecommerce-style selection, product customisation, project management, digital communication and physical logistics into one business workflow.

The interesting part of software development is not simply putting a business online. It is connecting the different parts of the business into one experience.

Conclusion

ExpoFry is being developed as a 360° exhibition solution for companies participating in exhibitions and events.

From selecting a stand or stage to customising dimensions and materials, adding supporting products, sharing branding information, tracking milestones and coordinating logistics, the platform is designed to bring the complete exhibition journey into one connected system.

For Nikiphoros, the project represents another step toward building software that does more than digitise a single task. It connects an entire business process into a practical digital experience.
